How to Use OneDrive for File Storage and Sharing

Overview: OneDrive for work/school provides 1TB of cloud storage for your FC Student/Staff Email Account account (e.g., [email protected], [email protected]). This article covers campus-specific best practices for storing, uploading, and sharing files, including the Request Files feature for secure uploads. Prerequisites

  • An FC Student/Staff Email Account account with MFA enabled.
  • OneDrive installed or accessed at https://onedrive.microsoft.com/.
  • A device with latest updates.
  • Internet access for uploads and sharing.

Instructions

Step 1: Access OneDrive

  1. Log In:
    • Go to https://o365.fullcoll.edu/, sign in with your FC Student/Staff account email and password, and complete MFA.
    • Click the OneDrive tile on the app page.
  • Alternatively, if onsite using a campus provided device, open OneDrive in File Explorer (look for OneDrive – Fullerton College).
  1. Verify Setup:
    • In File Explorer, ensure the blue cloud icon in the taskbar shows “OneDrive – Fullerton College” (no red X).
  • If OneDrive is missing, install via Company Portal or contact ACT.

Step 2: Upload Files or Folders

  1. Via Web:
    • In OneDrive web, navigate to the sidebar and click the Add New button in the top left.
    • In the drop-down menu, select Files upload or Folder upload.
    • Select files/folders from your device and click Open or Select Folder.
  1. Via File Explorer:
    • Drag and drop files to OneDrive – Fullerton College in File Explorer.
    • Files sync automatically when online.

  1. Via Office Apps:
    • In Word, Excel, or PowerPoint, go to File > Save As > OneDrive – Fullerton College.

Step 3: Enable Files On-Demand (Optional)

  1. Open Settings:
    • Right-click the OneDrive cloud icon in the taskbar > Settings.
  1. Enable Feature:
    • Go to Sync and Backup > Advanced settings.
    • Check Files On-Demand to download files only when accessed, saving space.

Note: The Files-On Demand feature may be unavailable due to your organization's policy.

  1. Mark Files:
    • In File Explorer, right-click files > Always keep on this device for offline access or Free up space for online-only.
  1. Create a Folder:
    • In OneDrive web, click Add New > Folder Upload.
    • Enter a name for your folder.
  1. Activate Request Files:
    • Click on the My Files button in the sidebar.
    • Select the folder, right click or click the symbol > Request Files.
    • Enter a description (e.g., “Submit homework for ENGL 101”).
    • Click Next to generate a shareable URL.
  1. Share the URL (Link):
    • Click the Copy Link button to copy the link to your clipboard.
    • Email the URL to students/staff or post in Canvas/Teams.
    • Submitters can upload files without signing in.
    • You receive an email notification each time a file is upload.

Notes

  • Storage: 1TB per FC Student/Staff Email Account user; contact ACT if nearing limits.
  • Best Practices: Avoid syncing large department folders (use SharePoint web). Use Request Files for assignments or paperwork.
  • Offline Access: Files On-Demand allows offline use if marked; syncs changes when reconnected.
  • Policy Compliance: Follow NOCCND’s Acceptable Use Policy (AP 3720).
