How to Download Zoom Cloud Recordings and Save Them to OneDrive

Introduction

Zoom’s cloud recording feature offers a convenient way to capture and store classes, meetings, webinars, and training sessions. However, due to storage limitations and organizational policies, it’s often necessary to archive these recordings to a more centralized and secure cloud storage solution such as Microsoft OneDrive. This guide provides a step-by-step guide for downloading Zoom cloud recordings and securely transferring them to OneDrive.

Zoom Cloud Recording Retention Policy

Deletion Notice and Timeline

Zoom recordings and transcripts stored in Zoom's cloud for CCC TechConnect sub-account users (faculty, staff, admins) shall be  systematically deleted one year after their recording date. The current deletion schedule is:

  • October 2, 2025: Recordings and transcripts created before July 31, 2024, will be deleted.
  • July 1, 2026: Recordings and transcripts from August 1, 2024, to June 30, 2025, will be deleted.
  • July 1, 2027: Recordings and transcripts from July 1, 2025, to June 30, 2026, will be deleted.
  • July 1, 2028: Recordings and transcripts from July 1, 2026, to June 30, 2027, will be deleted.

Note: This pattern continues yearly. Deleted items move to the Zoom "trash" folder for 30 days, where you can recover them. After 30 days, they are permanently gone. Once recovered, move them to alternative storage within one week to avoid re-deletion.

Download Zoom Cloud Recordings and Transcripts

Before deletions occur, download your files. This process works for videos (MP4), closed captions (CC.VTT), and transcripts (VTT).

1. Sign in to Zoom: Go to https://zoom.us/signin and log in with your Fullerton College email

2. Access Recordings: In the left navigation menu, click Recordings & Transcripts.

3. Locate Files: Browse tabs like Cloud recordings, Shared with me, Computer recordings, or Transcripts. Sort or search for specific meetings.

4. Download Files:

  • Click the meeting title to open details.
  • Hover over each file (e.g., MP4 for video, VTT for transcript) to reveal the download icon.
  • Click to download. Save all relevant files (video, captions, transcripts) to your computer's Downloads folder or a designated location.
  • Note: Review files to decide what to keep—multiple versions may exist.

5. Check Trash if Needed: If a recording has already been deleted, check the Zoom trash folder within 30 days and recover it before downloading.

After downloading, delete the originals from Zoom to free up space.

Upload to OneDrive

1. Login to OneDrive: https://fullcolledu-my.sharepoint.com/

2. Browse to or create the folder where you want to store your Zoom recordings

3. Click the Upload button at the top of the page.

  • Select Files or Folder, depending on what you downloaded from Zoom.
  • Choose the downloaded recording files from your local drive.
  • Wait for the upload to complete. Progress will be indicated in the top-right corner.
